Terms of Use

These Terms of Use (“Terms”) govern your access to and use of CampKit (the “Service”), a web application that helps camps, schools, and youth organizations plan and run group trips. By creating an account, logging in, or otherwise using the Service, you agree to these Terms.

1. Who may use the Service

The Service is intended for camp directors, trip leaders, organization staff, invited co-leaders, parents or legal guardians, and participants aged 13 and older. If you are under 13, do not create an account; your parent or guardian may manage your trip information on your behalf.

You must provide accurate account information, keep your password confidential, and promptly notify us of any unauthorized access. You are responsible for activity that occurs under your account.

2. Organizations and roles

CampKit is multi-tenant. An organization administrator may invite staff, parents, and participants and may grant or revoke access to trip data at any time. If you are invited to an organization, the organization controls the data it loads into the Service and decides what information you may view or edit within that organization’s workspace.

3. Participant and guardian information

Trip organizers may enter information about participants, including names, birth dates, guardian contact details, dietary notes, medical notes, and rooming preferences. When you enter or upload information about another person, you represent that you have the authority to do so and to share it with CampKit for the purpose of operating the trip.

Parents and guardians can view their linked participant’s trip details through the parent portal. You are responsible for keeping this information current.

4. Acceptable use

You agree not to:

  • use the Service to transmit unlawful, harassing, defamatory, or harmful content;
  • impersonate any person or misrepresent your affiliation with an organization;
  • attempt to access, tamper with, or reverse-engineer non-public parts of the Service;
  • upload content that infringes the intellectual property or privacy rights of others;
  • use the Service to send bulk unsolicited communications; or
  • use the Service in a way that could disable, overburden, or impair it for others.

5. Content you provide

You retain ownership of the trip information, rosters, schedules, announcements, photos, and other content you submit (“Your Content”). You grant CampKit a worldwide, non-exclusive, royalty-free license to host, store, reproduce, modify (for formatting), transmit, display, and otherwise use Your Content solely to operate and improve the Service and to provide it to the organization members you’ve authorized.

You are responsible for the accuracy, legality, and appropriateness of Your Content, and for having rights and consents for any personal information or images of participants you upload.

6. Communications and notifications

The Service sends transactional email and, where enabled, web push notifications related to your account and your trips (for example: invitations, password resets, announcements, and rooming updates). You may opt out of non-essential notifications in your profile settings; essential account and safety messages cannot be turned off while your account is active.

7. Intellectual property

The Service, including its interface, source code, branding, and documentation, is owned by CampKit and its licensors and is protected by copyright, trademark, and other laws. We grant you a limited, non-exclusive, non-transferable, revocable license to use the Service for its intended purpose.

8. Termination

You may close your account at any time. We may suspend or terminate access if you violate these Terms, if required by law, or if continued use would pose a security or legal risk. Upon termination, your access will stop and your data may be deleted or returned in accordance with our Privacy Policy and any applicable organization agreement.

9. Disclaimers

The Service is provided “as is” and “as available.” To the maximum extent permitted by law, CampKit disclaims all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or fully secure. CampKit is a logistics tool and is not a substitute for emergency services, licensed medical advice, or professional counsel.

10. Limitation of liability

To the maximum extent permitted by law, CampKit and its affiliates will not be liable for any indirect, incidental, consequential, special, or punitive damages, or for loss of profits, revenue, data, or goodwill, arising out of or related to your use of the Service. Our total liability for any claim relating to the Service will not exceed the greater of the amount you paid us in the twelve months before the claim, or one hundred US dollars.

11. Indemnification

You agree to indemnify and hold harmless CampKit, its affiliates, and their respective officers, directors, employees, and agents from any claims, damages, liabilities, and expenses (including reasonable attorneys’ fees) arising from your violation of these Terms or your misuse of the Service.

12. Changes to these Terms

We may update these Terms from time to time. If a change is material, we will notify you through the Service or by email before it takes effect. Your continued use of the Service after the effective date constitutes your acceptance of the updated Terms.

13. Governing law

These Terms are governed by the laws of the jurisdiction in which CampKit is organized, without regard to its conflict-of-laws rules. Any dispute arising from these Terms or the Service will be resolved exclusively in the courts of that jurisdiction, and you consent to personal jurisdiction there.
